As in a typical year, participating churches of the BGAV are allotted messengers based upon their giving to the Virginia portion of Cooperative Missions in the prior year. All registered messengers must be elected by his/her church. Only messengers are permitted to vote during the business session on Wednesday morning.

In consultation with our Parliamentarian, we will be conducting only essential items of business that require a vote for us to move forward with BGAV operations and ministries for the 2022 fiscal year since our meeting will be conducted online only this year.

The items requiring a vote (listed in the sidebar to the right) will be introduced during the Tuesday evening broadcast beginning at 7:00 p.m. Voting will occur during the Wednesday morning session (livestreamed) beginning at 10:00 a.m.

All messengers are required to review this information prior to the annual meeting in preparation for voting. A printed copy of these documents is also available in the special edition of the BGAV Express that is being mailed to all registered messengers (as of October 15, 2021). If you do not receive a copy or need to request one, please contact annualmeeting@bgav.org.

SPECIAL Notes For Messengers

Please read the following information related to messengers this year:

Because of the technicalities surrounding online voting and making sure all messengers have registered prior to the business session Wednesday morning, messenger registration will close Tuesday, November 9, at 7:30 p.m. EST. There is no registration deadline for guests. All participants can register online.

This year’s voting will occur Wednesday morning via an online platform. All messengers who wish to vote will need to have individual access to a smartphone, tablet, or laptop in order to participate. Please plan accordingly – we know this may cause issues for some but it is necessary given the nature of this year’s meeting and ensuring that every messenger’s vote counts. There will be additional instructions posted on the annual meeting website soon.

Dear Messenger,

Thank you for your commitment to the Baptist General Association of Virginia, shown by your willingness to serve as a messenger for this year’s annual meeting. All of us enjoy the powerful messages and stirring music of these meetings, but only a few of us enjoy the business portion. And yet, the business is necessary to our continued functioning and governance. We appreciate your willingness to serve!

This year, the beginning of the Tuesday evening session will include the presentation of a few of the items of business. One of the breakout choices on Wednesday morning will be for those who might have questions about the budget or other matters coming to us from the Executive Board.

After the breakouts Wednesday morning, we will move into our time of business. Messengers will receive a special link which will allow you to interact with the meeting in a Zoom format with an online voting function. Other interested attendees will be able to watch the proceedings but not vote or participate in any discussion. If you have a nomination from the floor or an amendment to any business, you will register your desire to speak via the chat function on the Zoom call. There will be individuals monitoring that and passing those names to the President to call on. In this session, please use the chat only for this purpose and no personal communication. If you are participating in the Zoom call via telephone, press *9 to be recognized. There will be a video tutorial demonstrating the online voting process soon on the annual meeting website.

The Book of Reports will be posted on the annual meeting website once it is complete. Items to be voted on appear in the links at the top of this webpage. We hope you will take a moment to see what the Lord is doing within our churches and beyond and to become familiar with the business items.

There are two items we are asking messengers to be thinking about and preparing for ahead of the meeting.

One is the election of officers. To expedite this process, we are asking messengers who want to nominate a candidate to record a two-minute nominating speech and submit that to annualmeeting@bgav.org by Monday, November 1, 2021. If you need help, please email us at annualmeeting@bgav.org. Remember that the person you nominate must be a resident member of a church that is in full cooperation with the BGAV. Before you submit a person’s name for nomination, please confirm that he/she is willing to serve if elected.

The second item is miscellaneous business. Our Bylaws require that any miscellaneous business be submitted by the end of the first day of the meeting. Most years we do not have any miscellaneous business, but we do not want to close the door on that possibility, so if you have any motions to submit, please send them in writing to annualmeeting@bgav.org before 11:59 a.m. on Tuesday morning, November 9. Be sure to include your full name and the church which you are representing as messenger.

The challenges of our new reality are not easy for any of us, but a team of dedicated folks at the BGAV has been hard at work to make our annual meeting participation possible this year. I thank them, and I thank you for your flexibility and willingness to keep BGAV flourishing.
